In this edition of Tips & Tricks, Gaurav Kapadia, Implementation Manager at SymTrain, walked through best practices for keeping your Sym library organized in 2026 as it grows with your training and coaching content. The session was designed primarily for Sym Creators and Org Admins who manage large volumes of Syms, modules, training plans, and users on a daily basis. Gaurav shared practical, step-by-step guidance on using labels across the platform, introduced a new bulk user import feature with temporary passwords, and highlighted UI improvements that simplify Sym creation and editing.
In this edition of Tips & Tricks, we covered:
- How to organize Syms using naming conventions and labels
- Applying labels across Syms, modules, and training plans
- Filtering content quickly using labels
- New bulk user import with temporary passwords
- Simplified hotspot settings for Sym creators
Why These Capabilities Matter
As your SymTrain instance scales, managing dozens or hundreds of Syms becomes increasingly complex. Without a clear organization strategy, finding the right Sym, making edits, or assigning training can quickly become time-consuming and error-prone. The updates covered in this session are designed to help teams work faster, reduce manual effort, and keep training content structured, searchable, and easy to maintain, especially for Sym creators working in the platform every day.
A Deeper Look
1. Sym Library Organization with Labels (Clarity at Scale)
As Sym libraries grow, organization becomes critical, not optional.
Key tips to follow:
- Use clear, topic-based Sym naming for quick identification
- Create Sym labels during creation to categorize simulations
- You can add multiple labels to a single Sym (e.g., year, process update, creator name)
- You can edit and manage labels after a Sym is created
Impact:
Sym creators can quickly locate, edit, and reuse simulations without scrolling or guessing.
2. Labeling Across Modules & Training Plans (End-to-End Structure)
Organization doesn’t stop at individual Syms.
What you can do:
- Apply labels to modules to group related Syms
- Use labels to filter modules for faster edits and assignments
- Add and manage Training Plan labels based on use case (refresher, billing, yearly cohorts, etc.)
- Filter Training Plans by label when creating assignments
Impact:
Creators and admins gain full visibility and control across Syms, modules, and Training Plans, making large training programs easier to manage and scale.
3. Faster User Onboarding with Bulk Import & Temporary Passwords
Customer feedback highlighted a common onboarding bottleneck with temporary passwords.
What shipped:
- Bulk user import using a downloadable template
- Ability to assign dummy or placeholder emails
- New toggle to generate one shared temporary password for all imported users
- Users are prompted to set a permanent password on first login
- No welcome emails are sent when using temporary passwords
Impact:
Org Admins can onboard large batches of new hires immediately, keeping training timelines on track.
4. Simplified Hotspot Settings for Sym Creators (Less Clutter, More Control)
Creating and editing visual simulations is now more intuitive.
What improved:
- A cleaner hotspot configuration layout for Coaching Tips and other hotspots
- Quick toggle controls for:
- Highlighting fields
- Click-to-advance behavior
- Keywords and hotkeys
- Reduced scrolling and visual clutter in edit mode
Impact:
New and experienced Sym creators can configure hotspots faster, with less confusion and a clearer view of how each interaction behaves.
How to Use
- Use clear, relevant Sym names (for example, “Flight Booking Confirmation”) to make simulations easier to find.
- Extend labeling to modules and training plans to keep content organized end-to-end.
- Use label filters to quickly locate Syms, modules, or training plans when editing or assigning content.
- Enable the temporary password toggle to assign a single temporary password for all newly imported users.
A Real-World Example
A large BPO customer in the travel and hospitality industry had been using SymTrain for several years across multiple programs, including new hire onboarding, seasonal refreshers, and process updates. Over time, their Sym library grew, and finding the right Sym to update or assign became time-consuming. Creators often relied on memory or manual searching, and small updates risked being made to the wrong simulation.
To fix this, the team implemented a labeling strategy across Syms, modules, and Training Plans:
- Syms were tagged by scenario type (e.g., Flight Booking, Refunds, Schedule Changes)
- Additional labels were added for the year and the process version
- Modules and Training Plans followed the same labeling structure for consistency
Within weeks, creators could filter the library instantly, make updates confidently, and assign the correct content without second-guessing. What was once a crowded library became a structured, searchable system, saving time, reducing errors, and making ongoing maintenance far more manageable.
Pro Tip
Use labels strategically across Syms, modules, and training plans, not just at one level. Consistent labeling creates a connected system that makes filtering, editing, and assigning content much easier over time, especially as new processes and yearly updates are introduced.
How to Access
